Billings, Refunds & Returns Policy

Me and Qi LLC ("Company," "we," "us," or "our") is committed to customer satisfaction while maintaining appropriate policies for health and wellness products. This policy outlines our billing practices and return procedures for both Me and Qi branded products and third-party supplier products.


1. BILLING AND PAYMENT

1.1 Billing Practices

Transparent Pricing: We bill only for items and services clearly displayed during checkout, including:

  • Product costs
  • Applicable taxes
  • Shipping and handling fees
  • Any applicable service charges

No Hidden Fees: We do not engage in automatic enrollment, recurring billing, or hidden charges unless explicitly agreed to during checkout.

1.2 Payment Authorization

By placing an order, you authorize us to charge your payment method for:

  • The total order amount displayed at checkout
  • Any applicable taxes based on shipping address
  • Selected shipping method charges

1.3 Payment Processing

  • Payment is processed upon order confirmation
  • We accept major credit cards and other payment methods as displayed
  • International orders may incur additional currency conversion fees from your financial institution

1.4 Order Confirmation

You will receive email confirmation of your order and charges. Please review immediately and contact us if any discrepancies exist.


2. PROMOTIONAL OFFERS AND DISCOUNTS

2.1 Discount Application

  • Promotional discounts are applied automatically at checkout when applicable
  • Discount amounts are clearly displayed before order confirmation
  • Sale prices are valid while supplies last and during the promotional period only

2.2 Promotional Restrictions

Non-Combinable: Unless explicitly stated, promotional offers cannot be combined with other discounts or special offers.

Product Substitution: If promotional offers involve product substitution (e.g., "buy 2, get 1 free"), previously applied percentage discounts on affected items will be removed.

Modification Notice: All promotional adjustments are displayed during checkout before payment authorization.

2.3 Promotional Terms

  • Promotions are subject to availability and may be discontinued at any time
  • Promotional pricing errors may be corrected, and affected orders may be cancelled
  • Bulk purchase discounts may have quantity limitations

3. CANCELLATION POLICY

3.1 Pre-Shipment Cancellation

Timeframe: Orders may be cancelled before shipment by contacting customer service immediately after placing your order.

Processing: We will make reasonable efforts to cancel orders before shipment, but cannot guarantee cancellation once processing has begun.

Refund: Successfully cancelled orders receive full refunds, including shipping charges, within 3-5 business days.

3.2 Cancellation Limitations

Orders cannot be cancelled once shipped. Please refer to our return policy for post-shipment procedures.

3.3 Custom-Made Products (Made to Order)

Orders for custom-made products (see Section 4.3) cannot be cancelled once the order is placed, as these items are manufactured specifically for you. These products are marked as "Made to order" on the product page and in your cart before purchase.


4. RETURN POLICY

4.1 General Return Terms

Return Window: 30 days from the original ordering date for eligible items.

Condition Requirements:

  • Products must be unopened and in original packaging
  • All original labels, seals, and tamper-evident packaging must be intact
  • Batch numbers of returned products must match those associated with the original order
  • Proof of purchase required (order confirmation email or receipt)

Authorization Required: All returns must be pre-authorized by contacting our support team. Unauthorized returns will not be accepted.

Health Product Restrictions: For safety and regulatory compliance, opened dietary supplements, herbs, and health products cannot be returned or exchanged.

4.2 Product Category Policies

Me and Qi Branded Products

Eligible Returns:

  • Unopened products in original packaging within 30 days of ordering date
  • Products damaged during shipping (our responsibility)
  • Products shipped in error (our responsibility)

Non-Returnable:

  • Opened or used products
  • Products past expiration date
  • Custom-made formulations (see Section 4.3)

Third-Party Supplier Products

Return Handling: Returns for third-party products (including products sourced from Golden Lotus Botanicals and Treasure of the East) are subject to the same 30-day return window and conditions outlined in this policy.

Our Role: We facilitate returns to suppliers and coordinate the process on your behalf.

4.3 Custom-Made Products (Made to Order) — Non-Returnable

Important: The following custom-made products are not eligible for return, refund, or exchange, as they are prepared by the lab specifically for each individual order:

  • Fluid Extract formulas (custom formulas prepared by Golden Lotus Botanicals)
  • Treasure of the East custom formulas (custom granule formulas prepared by Treasure of the East partner labs)

Since these products are manufactured to order based on your specific requirements, we are unable to resell them. We kindly ask that you confirm your formula details carefully before placing your order.

4.4 Non-Returnable Items

The following items cannot be returned for any reason:

  • Custom-made products (as described in Section 4.3)
  • Opened health products, supplements, or herbs
  • Perishable items past expiration date
  • Digital products or downloads
  • Gift cards or store credit
  • Items damaged by misuse or normal wear

4.5 Return Process

Step 1 — Contact Us: Email support@meandqi.com with the following information:

  • Order number
  • Account user name
  • Original email address used to place the order
  • Photos (if reporting damaged or incorrect items)

Step 2 — Authorization: Our team will review your request and, if eligible, issue a return authorization along with the return address for shipping the product back. Authorization is provided within 2 business days.

Step 3 — Shipping: Ship the product back in its original, unopened packaging to the return address provided. Return shipping is at the client's expense. We recommend using a trackable shipping method to ensure safe delivery.

Step 4 — Processing: Once we receive and inspect the returned item(s), your refund will be processed (minus applicable fees as outlined in Section 5). Returns are processed within 5-7 business days of receipt.


5. REFUND POLICY

5.1 Refund Processing

Approved Returns: Refunds are issued to the original payment method within 7-10 business days of return approval.

Refund Amount: Only the product cost is eligible for a refund, subject to the deductions outlined below.

Processing Time: Actual credit appearance depends on your financial institution's processing time.

5.2 Fees and Deductions

5.2.1 Cancellation Processing Fee

A cancellation processing fee of $5.00 per item will be deducted from your refund for each item returned.

5.2.2 Outbound Shipping Fee

The original shipping fee incurred to deliver your order is non-refundable. The following applies:

  • Orders where a shipping fee was charged: The shipping fee you originally paid will not be refunded. Only the product cost is eligible for a refund.
  • Orders that received complimentary shipping: Although outbound shipping was free at the time of purchase, an actual shipping cost was incurred to deliver your order. This actual shipping cost will be calculated based on the original shipment and deducted from your refund.

5.2.3 Return Shipping Fee

The cost of return shipping is the responsibility of the client. Clients are responsible for arranging and paying for the shipment of returned products back to us.

5.4 Refund Exceptions

No Refunds:

  • Custom-made products (Fluid Extract formulas and Treasure of the East custom formulas)
  • Shipping costs (unless return is due to our error)
  • Returns outside policy guidelines
  • Products damaged by customer misuse

6. DAMAGED, DEFECTIVE, OR INCORRECT ORDERS

6.1 Our Responsibility

We take full responsibility for:

  • Products damaged during shipping
  • Manufacturing defects in Me and Qi branded products
  • Incorrect items shipped by our fulfillment center
  • Missing items from your order

6.2 Reporting Issues

Timeframe: Report shipping damage or errors within 48 hours of delivery.

Required Information:

  • Order number
  • Description of issue
  • Clear photos of damaged items or packaging
  • Photos of incorrect items received

6.3 Resolution Process

Our Error: We provide prepaid return shipping and send replacements at no charge.

Third-Party Product Issues: We coordinate with suppliers for resolution, which may include replacement, refund, or store credit based on supplier policy.

Expedited Processing: Damage and error claims receive priority processing.


7. SHIPPING COSTS AND RESPONSIBILITIES

7.1 Standard Returns

Customer Responsibility: Return shipping costs are paid by the customer unless the return is due to our error.

Recommended Shipping: Use trackable shipping methods to ensure return delivery confirmation.

Insurance: Consider purchasing shipping insurance for high-value returns.

7.2 Our Error Returns

When returns are due to our error, we provide:

  • Prepaid return shipping labels
  • Full refund including original shipping charges
  • Replacement shipping at no charge

7.3 International Returns

Additional Costs: International customers are responsible for return shipping, customs fees, and any applicable duties.

Processing Time: International returns may require additional processing time due to customs procedures.


8. SPECIAL CIRCUMSTANCES

8.1 Health and Safety

Returns may be denied if:

  • Products pose health risks due to tampering
  • Items have been opened or used
  • Regulatory compliance requires disposal
  • Products are past expiration date

8.2 Fraudulent Returns

We reserve the right to refuse returns or issue refunds if we suspect fraudulent activity, including:

  • Excessive return patterns
  • Returning used products as new
  • Filing false damage claims
  • Requesting returns outside policy guidelines

8.3 Account Restrictions

Accounts with excessive returns or policy violations may be restricted from future purchases or returns.


9. CONTACT INFORMATION

Customer Service:

Return Processing Address: Return shipping addresses will be provided during the return authorization process. Do not ship returns without first contacting customer service for authorization and shipping instructions.


10. POLICY MODIFICATIONS

We reserve the right to modify this policy at any time. Changes will be posted on our website with an updated effective date. Continued use of our service after policy changes constitutes acceptance of the modified terms.


11. LEGAL COMPLIANCE

This policy complies with applicable federal and state consumer protection laws. For Colorado residents, this policy does not affect your statutory rights under Colorado consumer protection statutes.

Dispute Resolution: Disputes regarding returns or refunds are subject to the dispute resolution procedures outlined in our Terms and Conditions.
